Policies & Terms of Service
1. Booking & Cancellation Policy
To ensure we can provide the highest level of care to all clients, we require notice for any scheduling changes.
- Cancellation Window: We require 24 hours’ notice to cancel or reschedule an appointment.
- Late Cancellations: Cancellations made within 24 hours of the appointment time will be charged 50% of the session fee.
- No-Shows: Failure to arrive for an appointment without notice will be charged 100% of the session fee.
- Late Arrival: If you arrive late, your session will still end at the scheduled time to remain on schedule for the next client. The full session fee applies.
Package Policies
- Expiration: All session packages (3, 5, or 10-packs) expire 12 months from the date of purchase.
- Non-Transferable: Packages are intended for a single user and cannot be shared between multiple individuals (unless a Membership sharing perk applies).
- Refunds: All packages are non-refundable. If you find the therapy is not for you, remaining credits can be converted into a gift certificate for another person.
Membership Terms (Monthly Tiers)
- Commitment: Memberships require a 3-month minimum commitment to ensure you experience the cumulative benefits of the therapy.
- Roll-Over: Unused sessions roll over month-to-month as long as the membership is active.
- Cancellation: After the 3-month commitment, you may cancel with 15 days’ notice before your next billing cycle.
- Forfeiture: Upon cancellation or suspension of a membership, all “banked” or unused sessions are forfeited immediately and cannot be redeemed for cash or credit.
- Sharing Perk: After your initial 3-month commitment, you may “gift” one session per month to a friend or family member.
Somatic Breathwork & VAT Contraindications
Your safety is our priority. While Liquid VAT and Breathwork are non-invasive, they are not recommended for individuals with the following conditions:
- VAT Contraindications: Active pacemakers, recent surgery (within 6 weeks), or pregnancy (first trimester).
- Breathwork Contraindications: Severe cardiovascular disease, high blood pressure (uncontrolled), history of seizures, or severe psychiatric conditions/psychosis.
- Consent: By booking, you acknowledge that these sessions are for wellness and nervous system regulation and are not a substitute for medical or psychiatric treatment.
Community Access & Discounts
- Frontline/Senior Discounts: 10% discounts apply only to full-priced single sessions and cannot be combined with packages or memberships.
- Suspended Session Fund: Recipients of the “Ripple Effect” fund are selected via our non-profit partners. These sessions have no cash value and cannot be exchanged.
The “Dry” Promise & Professionalism
- Attire: Clients remain fully clothed for all sessions. We recommend comfortable, loose clothing.
- Conduct: We maintain a professional, therapeutic environment. Any inappropriate behavior will result in immediate session termination without a refund.
Professional Boundaries & Conduct Policy
[Aqua Somatica] is a dedicated therapeutic space for healing, nervous system regulation, and somatic release. To maintain a safe and respectful environment for both our clients and our practitioners, the following policy is strictly enforced.
1. Zero Tolerance for Inappropriate Behaviour
We maintain a zero-tolerance policy regarding any form of sexual harassment, suggestive language, or inappropriate physical advances.
- All sessions are strictly non-sexual and therapeutic in nature.
- Clients must remain fully clothed at all times for all services.
- Any comments, gestures, or actions of a sexual or suggestive nature will result in the immediate termination of the session.
- In the event of such a termination, the full session fee will be charged, and the client will be permanently banned from the studio.
2. Zero Tolerance for Abusive Conduct
Our space is a sanctuary of calm. We do not tolerate abusive behavior toward our staff, including:
- Verbal abuse, shouting, or use of profanity. We understand emotions can get high during a session that requires that expression which is different then verbal abuse.
- Physical intimidation or threats.
- Discriminatory or hateful language of any kind. We reserve the right to refuse service to anyone who behaves in a way that disrupts the safety and peace of our community.
3. Practitioner Right to Terminate
Our practitioners have the right to end a session at any moment if they feel unsafe, disrespected, or uncomfortable. If a session is terminated for conduct violations, no refunds will be issued.
